Answer phones and direct calls to appropriate departments.
Check and pass on voicemails.
File customer documents and maintain customer files.
File for other departments, as needed.
Stock paper and supplies in office equipment.
Monitor inventory of office supplies and generate lists for re-stock orders.
Accept deliveries.
Read all emails and keep up to date with status of client orders and requests.
Sales Duties Count box stock and update Sales Backlog daily.
Pull modules and misc.
items for new orders.
Print calibration certificates, make copies and prep for new order shipments.
Track product returns in QuickBooks.
Repair/Cal Duties Track expected repair/cal orders and respond to customer emails regarding incoming orders.
Complete incoming paperwork for all incoming repair and calibration orders.
Create estimates in QuickBooks and update Repair/Cal Spreadsheet.
Contact customers for any information needed in regards to repair/cal in-house.
Print calibration certificates, make copies and prep for shipping.
Create shipping lables and note tracking information in QuickBooks.
Track loaner modules in the field and update QuickBooks appropriately.
Maintain Loaner Tracking List and contact customers regarding delayed returns.
Customer Service Manager Duties (In addition to Admin Duties) Take all incoming sales orders and requests for quote by phone and email.
Create customer profiles, estimates and invoices in QuickBooks.
Guide customers to ensure they are receiving all needed products and/or accessories with their orders.
Encourage free field trials and up-sales, where applicable and appropriate.
Track and follow up on free field trial shipments to ensure customer satisfaction.
Work with production team on product availability to ensure customers are aware of estimated shipping dates, delays and/or backorders.
Pull modules, print calibration certificates, process shipping labels and calculate shipping costs.
Process international shipping documents, when needed.
Print invoices and packing slips and deliver modules to warehouse for packing.
If needed, pull additional items from warehouse and, at times, prep pack and label boxes for shipping.
Daily emails include forwarding tracking confirmations, invoices and calibration certificates to receiver and accounting contacts.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
